Emailing Reports

Required Level : Standard
Required Version : 3.01 or later

Using TNA 4 you can send reports to other people via Email. The report can be sent either as a text file, or as a PDF (Portable Document Format) file. As reports can be scheduled to print automatically at certain times, these reports can be set to print to Email, thus reducing the number of printers and paper required.

Configuration

In the Configuration module, you need to set the Email settings. Go to the Setup menu to the Server Options option. Then select the Internet - Email settings option. You will need to set:


  • SMTP Server. This is usually a 4 part number which looks something like 192.168.2.123  This number is usually available from the person or company that supplies your email. If you are unsure of what this number should be then ask the person who configures your normal Email system.

  • SMTP Port. This is usually 25. Only set it to something else if your SMTP server uses a different Port.

  • SMTP User and Password. If required, enter your Email logon username and password.

  • Email From : Many Email servers will not send Email, unless there is a valid "from" address. Enter your email address here.

 

When Printing
  • When you print the report you have the option to print to a Printer, a File, the Screen or to Email.

  • If you select Email then you will need to fill in the email address of the person who is to receive the report.

  • If you print to the Screen, then you will also have the opportunity to Email the report from there. Simply click on the EMail button, and enter the To-Address.
